Import Your Donations From Any Spreadsheet or App Export

Product announcement: if a CSV, Excel, text PDF or TXT file has your donations in it, DeductAble imports it, from any app, in any layout. You review it first.

Product announcement: DeductAble can now import your donation history from any spreadsheet or any app’s export. If the file is a CSV, Excel, PDF or text file and your donations are in it, it works. The columns can be in any order, under any headings, with other rows mixed in. Choose Import from a file, and DeductAble reads it and shows you every donation it found. No donations are added until you’ve reviewed the list and tapped Import.

Until now, a file of past donations could come in two ways: the ItsDeductible import for files from Intuit’s discontinued tracker, or a CSV template you had to copy your data into by hand. (The AI assistant could already read photos, receipts and screenshots, a few at a time.) The template was the problem. If your history lived in a spreadsheet you kept yourself, or in another app’s export, you had to rearrange its columns to match ours first.

You don’t need to do that anymore. There’s no template to match and no columns to rename. DeductAble works out which parts of your file are the organization, the date and the amount, wherever they are.

If It Has Your Donations, It Works

There are only two requirements:

  1. The file has your donation details in it: who you gave to, when, and how much.
  2. It’s in a supported format: CSV, Excel (.xlsx), a PDF with selectable text, plain text (.txt), or a ZIP of any of those. (A scanned PDF is a picture of paper rather than text, so it isn’t one of them.)

Everything else is flexible:

  • Any source. A spreadsheet you’ve kept for years, an export from another donation tracker, a giving report from another app, or a bank statement with your gifts in it.
  • Any layout. Columns in any order, under whatever headings the file came with. You don’t rename or rearrange anything.
  • Messy files are fine. Headers, subtotals, notes and rows that aren’t donations are skipped and counted, so you can see what was left out.
  • Mixed donation types. Cash and goods come straight in. Mileage and stock rows are recognized and listed for you to finish by hand.

Because it reads your file the way a person would instead of following a fixed template, check the preview before you import: that’s what it’s for.

How It Works

  1. Open Import from a file. On the web app, the sidebar’s Import opens it directly at app.deductable.ai/import (sign in with your account; it isn’t available to guests). On iPhone, tap the menu circle at the top left and look under Import & Export.
  2. Choose your file. DeductAble opens it on your device, then reads it.
  3. Review the preview. You’ll see a headline like “Found 12 donations totaling $1,430.00”, with the donations sorted into groups:
    • Ready: each donation shows its organization, type (cash, goods, mileage or stock), date and value, with a checkbox. Uncheck anything you want to leave out.
    • Needs attention: rows that can’t be imported as they are, with a note saying why, such as no date, no value or no organization. If a date is missing or unclear, you can set it and move the row to Ready.
    • Possible duplicates: rows that look like donations you already have, or like another row in the same file. They stay out unless you tap Keep.
    • Skipped: lines that weren’t donations.
  4. Import. The button tells you exactly what will be saved, for example “Import 10 donations ($1,180.00)”. Tap it, and only the checked rows are added.

Two checks help you catch mistakes before any donations are added. If your dates could be read either way (is 3/4 March 4 or April 3?), the preview asks which comes first. If the file states its own total, the preview shows that total next to the one you’ve selected, so you can see whether anything is missing.

If you’re interrupted, an unfinished preview waits under In progress on the same screen.

Your Values Stay Yours

The file importer doesn’t value your donations. Each donation you import keeps the dollar amount written in your file. AI reads the rows to find the organization, type, date and amount, and a row it can’t complete is set aside for you to check rather than guessed.

For new donations of goods, DeductAble’s catalog still does the pricing work: AI identifies each item and matches it to a fair market value from our catalog that you review and approve.

What It Doesn’t Do (Yet)

  • Scanned PDFs and photos. A PDF that is a picture of paper can’t be read by the file importer. For receipts and photos, use the Photo button on Add Goods, or hand the AI assistant up to 20 photos, receipts or PDFs at once.
  • Mileage and stock. These rows are recognized in the preview but not imported. The result screen lists them so you can add them by hand.
  • Very long files. Each file is read up to its first 500 rows. Split a longer file into parts.

Moving From ItsDeductible?

Nothing changes for you. ItsDeductible exports (the CSV or ZIP you saved before the October 21, 2025 shutdown, or the Excel or ZIP file from an Intuit Account data download) still go through the dedicated ItsDeductible import, which lists any row it can’t import. If you choose an ItsDeductible file in Import from a file, the app sends you to that import automatically.

The CSV template hasn’t gone away either. If you’d rather use it, follow the “Prefer our CSV template?” link on the import screen.

Privacy

Your file is opened on your device, and its rows are sent to be read by AI. DeductAble doesn’t keep the text of your file. The preview of what it found is saved to your account so you can come back to it, and no donations are added until you tap Import. Imported donations sync between your iPhone and the web app like any other donation.

Free and Premium Limits

  • Free: one file import, ever, of up to 100 rows. Saving is still subject to the free plan’s limit of 5 donations.
  • Premium ($19.99/year): up to 5 files and 1,000 rows a day (the day resets at midnight UTC).
  • Every plan: each file is read up to its first 500 rows.

Choosing the same file twice reopens the earlier preview and doesn’t use up another import, and a file that fails to read isn’t counted.

Frequently Asked Questions

What can DeductAble import?

Any CSV, Excel (.xlsx), selectable-text PDF, plain .txt or ZIP file that has your donations in it: who you gave to, when, and how much. It can come from any spreadsheet or app, in any layout, with no template to match. A scanned PDF (a photo of paper) can’t be read by the file importer; use the Photo button on Add Goods or the AI assistant for scans and photos instead.

Can I move my donations from another donation app to DeductAble?

Yes. If the other app can export your history as a CSV, Excel, PDF or text file, DeductAble can import it, whatever its columns or layout. Choose Import from a file, and AI reads the file and sorts what it finds into a preview. Each donation shows its organization, type, date and value, and no donations are added until you check the rows you want and tap Import.

Does the file importer set the values of my donations?

No. Each imported donation keeps the value written in your file. The AI reads the rows to find the organization, type, date and amount. It doesn’t invent dollar figures, and a row with no value is set aside under Needs attention instead of being saved.

Does DeductAble keep a copy of my file?

No. The file is opened on your device and its rows are sent to be read by AI. DeductAble doesn’t keep the text of your file. The preview of what it found is saved to your account so you can finish later, and no donations are added until you tap Import.

How many files can I import on the free plan?

A free account gets one file import, ever, of up to 100 rows, and saving is still subject to the free plan’s limit of 5 donations. Premium ($19.99/year) gets up to 5 files and 1,000 rows a day. Each file is read up to its first 500 rows, so split a longer file into parts. Choosing the same file again reopens the earlier preview and doesn’t use up another import.

Is the ItsDeductible import changing?

No. ItsDeductible exports (CSV, ZIP or Excel) still go through the dedicated ItsDeductible import, which lists any row it can’t import. If you choose an ItsDeductible file in Import from a file, the app sends you to that import automatically.

Where to Find It

Import from a file is in the web app, and on iPhone in version 3.2.0 or later. If you don’t see it on your iPhone, update DeductAble from the App Store.

Open Import from a file in the web app (sign in first), or start at the DeductAble home page if you’re new and want to see how the donation tracker works.
